Travel & Tour Agencies

Enquiry and Operations Software for Travel Companies

BotSpace helps travel agencies, tour operators, trekking companies and destination-management companies manage the journey from the first customer message to sales follow-up and trip preparation.

*Module availability depends on the current product release, selected plan and approved implementation scope.

Bring the Travel-Enquiry Journey Together

When records remain scattered across individual inboxes, spreadsheets, documents and staff devices, important information can be missed or duplicated. BotSpace creates a connected working process while keeping each authoritative record in the appropriate module.

Travel Enquiry Desk

The Travel Enquiry Desk brings eligible website, WhatsApp, Messenger and Instagram enquiries into one shared workspace. It helps travel teams capture a usable trip brief before handing the enquiry to the appropriate consultant.

Capture the Travel Requirements

CustomerName, contact details, country and preferred channel
TripDestination, route, trip type and interests
TimingProposed dates, duration and flexibility
TravelersAdults, children, group size and traveler type
BudgetBudget range, currency and price sensitivity
Service needsAccommodation, transport, guide, activities and meals
Special requirementsDietary, accessibility, language or assistance needs

Qualify and Route

Enquiries may be routed using destination, trip type, language, group size, departure urgency, branch, staff expertise, or workload.

Transfer to Consultant

When staff take over, they receive the conversation summary, original messages, captured trip requirements, missing information, and suggested next actions. The traveler shouldn't have to repeat information.

Controlled Follow-Up

Follow up on missing dates, group sizes, budget, proposal feedback, or inactive enquiries. Automated follow-up stops when the traveler replies or converts.

Travel CRM and Sales Pipeline

The Travel CRM organizes qualified enquiries as sales opportunities. It helps consultants and managers see who owns each enquiry, what stage it has reached and what should happen next.

Suggested Travel Sales Pipeline

Booking operations should begin only after acceptance has been verified.

CRM Records

  • • Customer & traveler details
  • • Destination and travel dates
  • • Assigned consultant
  • • Estimated value & currency
  • • Pipeline stage & next action
  • • Follow-up date

Sales-Control Features

  • • Opportunity ownership
  • • Pipeline views & tasks
  • • Duplicate suggestions
  • • Enquiry ageing
  • • Lost-reason classification
  • • Proposal & booking handoff

AI Assistance

  • • Extract enquiry information
  • • Summarize conversations
  • • Suggest qualification questions
  • • Draft follow-up messages

AI should not independently reject an enquiry, guarantee conversion probability or negotiate a price.

Quotation, Costing & Itinerary Studio

The Quotation and Itinerary Studio converts a qualified travel request into a controlled proposal. It separates supplier costs, business margins, traveler-facing prices and itinerary content.

Build a Structured Quotation

• Day-by-day itinerary• Accommodation & Transport• Flights & Guides• Activities & Permits• Supplier costs• Markups and margins• Taxes and fees• Payment schedule• Cancellation terms• Price-validity period

Maintain Quotation Versions

Every issued proposal should retain its own version. A revision must not overwrite the supplier costs used previously, selling price offered, terms accepted, or approval history.

Commercial Controls

Before a proposal is issued, the system should verify:

  • Required components are present
  • Supplier rates have valid sources/dates
  • Currency & exchange-rate info recorded
  • Markup or margin rules pass
  • Inclusions and exclusions are complete
  • Required approval is recorded

AI Assistance Boundaries

AI may help draft descriptions, summarize preferences, and compare versions.

Authoritative totals, margins, taxes and exchange-rate calculations must use deterministic rules—not free-form AI output. Availability must come from authorized systems.

Booking and Trip Control

Booking and Trip Control converts an accepted proposal into an operational case. It helps the operations team monitor each service component, confirmation, deadline and traveler requirement.

ComponentExample control
AccommodationHold, confirmation number, room type and deadline
TransportVehicle, route, provider and confirmation
FlightPassenger details, ticketing deadline and reference
GuideAssignment, dates and contact
ActivityCapacity, time and supplier confirmation
PermitRequirements, submission and issue status
Meal or eventQuantity, dietary information and confirmation
Special assistanceRequirement, owner and completion evidence

Monitor Booking Readiness

ReadyWarningsBlocked

Readiness should consider:

  • • Supplier confirmations
  • • Customer payments
  • • Traveler info & permits
  • • Guide assignment
  • • Arrival arrangements
  • • Itinerary approval

Manage Changes

Amendments should securely record:

  • • Original booking state & requested change
  • • Affected components & supplier terms
  • • Price difference & formal approval
  • • Revised confirmation

Cancellation and refund decisions require applicable terms and human authorization.

Supplier and Payment Tracking

Helps travel companies monitor supplier commitments, customer receivables and supplier payables without turning chat messages into financial evidence.

Supplier Confirmation Control

Flag exceptions such as:

  • Missing confirmation reference
  • Hold approaching expiry
  • Different dates or service type
  • Changed cancellation terms
  • Amount differing from quotation
  • Supplier response overdue

Customer & Supplier Payments

Track amounts due, currency, due dates, approval status, related bookings, and exceptions.

Sensitive Financial Changes

Supplier bank-detail changes and refunds should require:

  • • Independent verification
  • • Before-and-after values
  • • Authorized approval
  • • Audit history
  • • Two-person review

AI and ordinary chat approval must not release money or change bank details.

Operational Dashboard & AI Copilot

Highlight work requiring attention across enquiries, proposals, bookings, suppliers and payments. The AI Copilot helps staff interpret information without becoming the authoritative decision-maker.

Operational Dashboard

The dashboard prioritizes exceptions and deadlines instead of displaying large numbers without a clear action. It surfaces:

  • Proposals approaching expiry
  • Accepted proposals awaiting booking creation
  • Supplier holds approaching expiry
  • Unconfirmed booking components
  • Customer/supplier payments due
  • Departures with readiness blockers

AI Copilot Boundaries

The Copilot may retrieve records, summarize info, identify missing fields, draft messages, and recommend next steps.

The Copilot Should Not:

  • • Change confirmed bookings
  • • Approve quotations
  • • Promise availability
  • • Verify payments
  • • Release supplier payments
  • • Issue refunds
  • • Make emergency decisions

Travel Software Questions

What is BotSpace Travel?

BotSpace Travel is a travel-industry configuration of the BotSpace Omnichannel Enquiry Desk. Optional modules extend it with travel CRM, quotations, itineraries, bookings, suppliers, payments, reporting and workflows.

Do we need to install every travel module?

No. A travel company can begin with the Travel Enquiry Desk and add modules when its sales and operational processes require them.

Can BotSpace manage WhatsApp travel enquiries?

BotSpace can connect an eligible WhatsApp Business account, subject to Meta requirements, the selected plan and approved implementation.

Can BotSpace create travel itineraries?

The Quotation and Itinerary Studio can support structured itinerary creation. AI may assist with drafting, but itinerary facts, prices, timing and feasibility require verification.

Does BotSpace provide live hotel or flight availability?

Not by default. Live availability requires an approved supplier, booking, flight or distribution-system integration.

Can BotSpace confirm a booking automatically?

Only where an authorized system provides verified confirmation and the workflow has been approved for that action. A chatbot statement does not create a booking confirmation.

Is BotSpace an accounting system?

No. It can track travel-related receivables, payables and exceptions, but statutory accounting should remain in an appropriate accounting system.

Can BotSpace replace our existing CRM?

Not necessarily. A business may use the BotSpace Travel CRM or connect an eligible existing CRM. The correct approach depends on which system should own the authoritative opportunity record.
